Directions

The 60th Annual Conference of the Japan Association for African Studies (JAAS) will be held in-person only. However, we will provide an online platform (“slack”) for discussions and uploading presentation files. We will send an invitation to slack by May 8, to those who have registered for the conference and paid the registration fee by April 26.

Please note that if we cannot confirm your registration and the payment of registration fee by the deadline of April 26, we will not be able to send you the slack invitation before or on the dates of conference. You will receive the slack invitation after the conference is over.

Registration for the Conference

All participants, including the ones who are not giving a presentation, are required to register for the conference at the JAAS website. Even if you are not attending the conference, please fill in a proxy form at the same website.

After registration, please proceed to the payment of registration fee.

We strongly encourage you to complete registration and payment of the registration fee by Wednesday, April 26.

Registration Fee

Conference Registration Fee: JPY 7,000 (JPY 3,000 for students)

  • We regret to inform you that a reception will not be held at this conference due to the ongoing precautions for Covid-19.
  • Please pay the registration fee by bank transfer by Wednesday, April 26. We will not accept bank transfer after April 26. If you have transferred the fee after this date, or if you have transferred the fee without registering for the conference at the JAAS website, you will be requested to pay the balance due at registration desk.

  • Please note that the bank transfer fee should be paid by the participants.
  • Please make sure to make a payment in the name of the conference participant. Please do not transfer money for multiple people at once. We ask for your cooperation in order to avoid misidentification of the transferor.
  • We will provide a receipt at the conference registration desk for those who have paid the registration fee by the above date.
  • If you wish to cancel your registration after you have paid the registration fee, please contact the secretariat of the 60th JAAS conference at least one day before the conference. The refund will be made at a later date after deducting the bank transfer fee.
  • The onsite registration at the conference is also possible, but the onsite registration fee is JPY 8,000 (JPY 4,000 for students).
  • Once again, we strongly encourage you to complete registration and payment of the registration fee by Wednesday, April 26.

Presentations

Oral presentations:

Presenters will have 12 minutes for their presentations and 3 minutes discussion time. A timekeeper will ring a bell once at 10 minutes and twice at 12 minutes. The last bell will ring three times at 15 minutes to inform you of the end of your presentation. Please don’t go overtime as oral presentation sessions will be on a tight schedule.

A PC installed with Windows 10 and Microsoft Office PowerPoint 2019 will be provided for your presentation. It should be possible to play audio and connect to the Internet with it. Kindly note that you will not be able to use your own PC for your presentation.

Please follow the two steps below to submit your presentation files in advance.

  1. Uploading your files online

    Presenters should upload their presentation files using the Presentation File Submission Form by 8:00AM on the day of their presentations. To do so, you will need to log in to your Google account.

    If for some reason you are unable to upload your presentation files on the above Submission Form, please send your presentation files by email to jaas60.abstract●gmail.com (Please replace ● with @) by 8:00AM on the day of your presentation.

  2. Confirmation of your file at the venue

    On the day of your presentation, please ask a staff member at the presentation venue to confirm that your presentation file(s) have been uploaded to the PC. Please bring a USB flash drive with your presentation file(s) just in case. Confirmation should be done according to the following schedule.

Presenters can bring and distribute their handouts before their presentations. Please note that neither Xerox copying nor printing services are available at the conference venue. Presenters can also upload their handouts on slack.

Poster presentations:

A poster size of A0 (120 cm x 84 cm) or smaller can be attached to the wall of poster presentation rooms. When you arrive at the conference venue, please inform the registration desk that you are making a poster presentation. The registration desk will give you the direction to your poster presentation room. You are expected to set up your own poster in the room. Adhesive tape will be provided.

The core time for poster presentations is from 15:00 to 16:00 on the 13th (Saturday). During that time, kindly be available at your poster to present your work. All participants can see the posters at any time during the conference.

Accommodation and Lunch

Finding last-minute accommodation near the venue (nearest train station is JR Kaihin Makuhari) might be difficult. Please make sure to make hotel reservations as early as you can.

The secretariat of the 60th JAAS conference has reserved a limited number of single rooms at the conference venue for the participants. If you wish to book it, please do so at the Conference Accommodation Booking Form. You can find information on this accommodation in this Form. Booking will be made on a first come, first served basis. We will close the Booking Form once we receive enough requests.

Please bring your own lunch. The conference venue is adjacent to the Aeon Kaihin Makuhari store (with a food court on the upper floor), and there are many convenience stores, take-out shops and restaurants at and near JR Kaihin Makuhari station. All of them are open on Saturdays and Sundays.

Childcare Service

Childcare Service is available during the conference. We will take care of children aged 3 months to 12 years between 9:30-18:00 on May 13 and 9:00-17:30 on May 14. To use the service, please fill in the Childcare Service Booking Form before 16:00, Friday, April 7. Prior booking is compulsory to use the service. Enrolment capacity is limited, so please reserve a space early.

IDE Library Tour

On the afternoon of Friday, May 12, the day before the conference, IDE library tours (participation fee is free, but prior registration is required) are available for JAAS members. The tour is intended for first-time users of the IDE library. At the moment, all 3 tours are planned to be held in Japanese. If you wish to attend an IDE library tour in English on the afternoon of Friday, May 12, please send a request to the secretariat of the 60th JAAS Annual Conference by email, by Monday, April 10. There will be 2 tours held in Japanese. You can register for the tour here by Thursday, April 27 on a first come, first served basis. The registration form will be closed once it reaches capacity.

IDE library tour schedules for JAAS members:

  1. 14:30-15:00 (Max. 7 people) CLOSED
  2. 15:00-15:30 (Max. 7 people)
  3. 15:30-16:00 (Max. 7 people)

You can continue to use the IDE library after the tour ends on Friday, May 12, but please note that the IDE library is closed on Saturday, May 13 and Sunday, May 14.

The IDE library is an open stack library. Visitors can freely browse books and journals in the library. However, the book lending service is only available for limited categories of people. Members of universities which have mutual usage agreement with the IDE library can use the book lending service, but they have to make an arrangement first at their own university libraries. Please inquire with your own university libraries about it.
